A sales CRM that livesinside WhatsApp.

UAE sales teams close deals inside WhatsApp conversations. We engineered a CRM that meets them there, pipeline, qualification, follow-up, and assignment without a parallel tool or double data entry.

THE OPERATION BEFORE

UAE sales teams in real estate, hospitality and B2B services close deals inside WhatsApp conversations, and the people doing the closing spend their days moving between client visits across Dubai, not sitting at laptops. Their CRM lived somewhere else. The result: deals tracked in one place, conversations in another, follow-ups in human memory. Salespeople either did double data entry or, more often, didn't, and the pipeline on screen stopped matching reality.

THE CONSTRAINTS

The business runs on WhatsApp and the team is in transit most of the day; the system had to come to the conversation, not the other way around. Multiple salespeople on shared numbers needed assignment and accountability. WhatsApp Business API rules constrain how and when a business may message.

THE SYSTEM

A complete CRM operating where the conversations already happen: pipeline tracking, lead qualification, follow-up automation, and team assignment, all driven from inside WhatsApp threads. Deals move stages without anyone leaving the conversation. Built directly on the Meta WhatsApp Business API, our own rails, the same engineering that powers Pingbot. No aggregator, no third-party sync layer.

Stack: WhatsApp Business API (direct Meta integration), FastAPI, PostgreSQL.

GOVERNED AI

Qualification and follow-up automation run inside defined boundaries: templated and windowed messaging per WhatsApp policy, human takeover at any point, every automated action logged against the deal. No decision is made by AI alone; human-in-the-loop is the design rule for every AI feature we ship.

WHAT CHANGED

In-thread
Deals managed

Deals managed without leaving the thread, no parallel data entry, no laptop required between client visits.

Closed
Follow-up leaks

Prompt assignment and automated reminders close the follow-up leaks that used to live in human memory.

Accurate
Pipeline reporting

Reporting reflects the pipeline as it actually is, because the conversation is the system of record.

340+
Conversations / day

Across our UAE WhatsApp deployments, 340+ conversations a day are handled without agent involvement.

Client signal (hospitality, UAE, 2025): they needed WhatsApp to be the system of record, not an inbox, and got a CRM their sales staff actually use.

DECISION LOG

WhatsApp as the primary surface, not an integration.

Meeting the team where the work already happens removes the adoption problem entirely.

Rationale: Adoption is the failure mode of every CRM, and this team is on the move all day; meeting them where the work already happens removes the adoption problem entirely.

Trade-off accepted: The product's UX is constrained by WhatsApp's interaction model.

Direct Meta WhatsApp Business API, no aggregator.

Control over delivery, logging, and policy compliance, with no per-seat connector economics passed to the client.

Rationale: Control over delivery, logging, and policy compliance, and no per-seat connector economics passed to the client.

Trade-off accepted: We own more infrastructure.

Shared numbers with engineered assignment.

Every conversation has an owner, and ownership is visible.

Rationale: Multiple salespeople work the same business number, so routing and accountability are built into the system rather than left to an inbox free-for-all.

Trade-off accepted: Assignment logic to maintain, accepted because an unowned conversation is a lost deal.

WHAT WE'D DO DIFFERENTLY

The client's commission structure spreads across multiple layers of the sales organisation, and it still runs on paper: the model works as designed, but it has never been digitized. Version one treated commissions as a design problem to document rather than an engineering problem to build, and we would scope commission engineering into the platform from day one. It is the next system we want to bring into the thread.

ENGAGEMENT

Closer CRM is production software for UAE teams where WhatsApp is already the sales surface, not a notification layer on a web portal.

If your pipeline lives in conversations and your CRM lives somewhere else, we can map where context drops and whether WhatsApp-native engineering is the right fix.
